How To Prepare Your CSV File
- Use a spreadsheet tool (Google Sheets, Excel, or Numbers). To help you get started, you can download our sample CSV file.
- Ensure correct column structure:
- Column A: Post Text – The main content of your post.
- Column B: Link – The URL you want to include (optional).
- Column C: Image(s) – Direct links to images (must be publicly accessible). To add multiple images, separate URLs with commas.
- Column D: Scheduled Time – Format: yyyy-mm-dd hh:mm (5-minute increments only).
- Column E: Category – Must match an existing SmarterQueue Category.
- Column F: Evergreen – Set to TRUE to recycle posts.
- Column G: Post Title – Required for platforms that use post titles (e.g., Pinterest).
- Column H: First Comment – Supports Facebook, Instagram, and LinkedIn.
- Formatting rules to follow:
- Enclose post text in quotation marks when using plain text editors.
- Links will be automatically shortened if tracking is enabled.
- Up to 50 images can be added per post (for multi-image posts or variations).
- Export the file as a CSV. Be sure to choose UTF8-encoding if you have the option.

Common Questions
1. Can I upload video files using a CSV?
No, SmarterQueue does not support video uploads via CSV. If you need to include videos in your posts, you must manually add them after importing your CSV by editing the post in the Bulk Editor.
2. Why isn't my CSV importing successfully?
CSV files use comma-separated values, meaning each field must be separated by a comma. Some spreadsheet software (e.g., Apple Numbers) may default to other separators based on your Language & Region settings, which can cause import failures. If you're experiencing issues, open the CSV file in a text editor and check for incorrect separators.
3. Why does my spreadsheet software change my data when opening a CSV?
Spreadsheet programs like Excel often apply mathematical formatting to numbers when opening a CSV file directly, which can alter data (e.g., changing long numbers into scientific notation). To avoid this:
- Instead of opening the file directly, import the CSV into the spreadsheet program.
- Set the column format to text to prevent changes.
- Alternatively, use a text editor like Notepad to create the CSV manually.
4. How do I add images to my CSV file?
Images in a CSV file must be hosted online as direct links. Upload your images to an image hosting platform that provides public, direct links. Recommended platforms:
- PostImages – Use the Direct link after upload.
- ImgPile – Use the Direct link after upload.
Google Drive and Dropbox are not recommended, as their links often lead to preview pages instead of direct image URLs.
5. How many posts can I import at once?
The SmarterQueue Bulk Importer can process up to 500 posts per upload. However, each assigned profile counts separately. Example:
- 100 posts assigned to 4 profiles = 400 total posts counted.
- Keep this in mind when preparing your CSV file.
